Mill & Wright Automation for small businesses Book a call

The phone stops being a bottleneck

Work that arrives by phone should not depend on whether someone remembered to write it down.

What it is

The call is the straightforward part. What happens afterwards is where work is lost.

In most small businesses, a great deal of work still arrives by telephone. The difficulty is what happens next: a number written on paper, a name partly remembered, and a promise to call back that nobody recorded.

We do not change how you speak to customers. We change what happens in the minute after the call ends, so the enquiry is recorded, the follow-up is scheduled, and the person who needs to know has already been told.

What it includes

The things we are usually asked for

  • Enquiries captured the moment a call ends, with the details filed where your team already works.
  • Missed call handling: an automatic text message within a minute, so the caller does not move on to another firm.
  • Follow-ups that schedule themselves, and remind the responsible person if nothing has happened by the end of the day.
  • Call notes and recordings transcribed and attached to the right customer record.
  • Quotes drafted from what was discussed, ready for a human to check and send.
  • A simple daily summary: who rang, what they wanted, what's still open.
What changes

What you'd actually notice

Nothing is lost

Every enquiry is recorded in a system, not only in someone's memory.

Typical: no missed enquiries

Faster responses

The customer hears from you while they are still deciding.

Typical: minutes rather than days

Less administration in the evening

The record is created as the call ends, not later that night.

Typical: 3 to 6 hours a week returned

A firm where enquiries were not always followed up

Enquiries arrived by telephone throughout the day. They were written on paper and entered into the system in the evening, when there was time. Two or three each week were never followed up.

The build: missed calls trigger an immediate text message; answered calls open a short form that records the enquiry as the call ends; and anything still untouched after four hours notifies the person responsible.

The value is not in the technology. It is that the enquiry no longer depends on the memory of the person who took it.

Questions we get on this

Do we have to change our phone system?

Usually not. We work with the system you already have, and we confirm what is possible with it before any work begins.

Are calls recorded?

Only if you want them to be, and only where the law and your customers' consent allow it. We will set up the required notices correctly, or leave recording out entirely.

Will customers be speaking to a machine?

No. We automate what happens around the call, not the conversation itself. If we ever build something that answers on your behalf, it will say so clearly.

Twenty minutes, and three tasks named

Tell us which tasks take the most time. On the call we will tell you which of them we would automate first, what the work involves, and what it would cost.

We would rather build one small thing that runs for years than sell you a large system you have to keep paying for.

You will hear back the same working day
